Executive Assistant & Project Coordinator

The role

An experienced Executive Assistant & Project Coordinator who brings calm, order and structure to the CEO's office and drives coordination across strategic initiatives. It's part executive support, part project coordination: turning priorities into action, keeping stakeholders aligned and initiatives on track.

Acting as an extension of the CEO, you'll anticipate needs, connect teams, track progress against priorities and keep communication clear, so the CEO can focus on leading and growing the business.

What you'll get to do

You'll run the CEO's office day to day, managing the diary, inbox and logistics, protecting the CEO's time and making sure nothing falls through the cracks. You'll own meetings end to end, from agendas and packs to minutes, actions and follow-ups, and prepare the correspondence, reports and briefing documents that go out on the CEO's behalf. You'll also take the lead on team events, functions and celebrations.

Alongside the office, you'll coordinate cross-functional projects and strategic initiatives: keeping plans and trackers current, following up with owners so commitments are met and flagging risks early. You'll handle confidential information with discretion, and work in the tools we use every day, ClickUp, Microsoft 365, Odoo and Claude.

Responsibilities

  • Proactively managing the CEO's diary, schedule and logistics, and acting as gatekeeper for the office.
  • Running office coordination and day-to-day office management, and planning team events, functions and celebrations.
  • Coordinating all meetings (in person, virtual and hybrid): agendas, packs, minutes, action tracking and follow-ups.
  • Preparing high-quality correspondence, reports, presentations and briefing documents on the CEO's behalf.
  • Serving as a primary, professional liaison between the CEO and internal and external stakeholders.
  • Coordinating cross-functional projects and strategic initiatives, with plans, timelines, trackers and executive status reports.
  • Following up with leaders and project owners so deliverables and deadlines are met, and escalating risks with possible solutions.
  • Being available to support and assist with management and leadership meetings, and handling confidential information with discretion (POPIA-aware, secure handling).
  • Assisting with executive off-sites, strategy sessions and business reviews, and improving how the office runs.

Our requirements include

Must be able to:

  • Communicate clearly and professionally, in writing and in person.
  • Exercise sound judgement on when to support, when to challenge and when to escalate.
  • Coordinate multiple projects and priorities at once, calmly and with attention to detail.
  • Handle confidential information with complete trust and discretion.

Knowledge & experience:

  • At least 4 years in an Executive Assistant or Personal Assistant role.
  • Experience coordinating cross-functional projects, strategic initiatives or executive programmes.
  • Experience preparing executive reports, dashboards and project updates for multiple stakeholders.
  • Confident with the tools we use, ClickUp, Microsoft 365, Odoo and Claude, or able to get up to speed quickly.

Prerequisites:

  • South African work authorisation.
  • A relevant tertiary qualification.
